The Escort Manual

 

One of the largest APO service projects is Campus Escort.

General Information
  • Time and Shifts
    Campus Escort is open every day of the academic client calendar of each semester.
    Campus Escort is open from 9 PM – 1 PM from Sunday through Thursday, the weekday shift
    Each day within the weekday shifts should be covered by assignment to the brotherhood.
  • Weekend Shifts
    Campus Escort is open from 9 PM – 2PM on Fridays and Saturdays. These two days constitute the “weekend” shift.
    The weekend shifts of Campus Escort are divided into two shifts, “A” and “B.” A-shift runs from 9-11:30 and B-shift runs from 11:30 to 2.
    Weekend shifts are to be filled by the Brotherhood on an as needed basis and should not be assigned as permanent individual shifts throughout the semester.
  • Weeks and Shifts
    Shifts for each weekday night are assigned on an individual, rotating, and weekly basis. The 4 weeks of Escort are labeled W, X, Y, and Z.
    Office Managers should rotate their office responsibilities during each of these four weeks.
  • Commuter Clients
    Commuter clients have official access to the house until 9 PM. They are also allowed to stay inside the house after this allotted time.
  • Office and Commuter House Maintenance
    The Commuter House should be treated with respect. The house is shared by both the Campus Escort service and the client commuters and must therefore be kept clean.
    The Campus Escort Office must be maintained to a standard of cleanliness and order. It should not be the disposal closet for Campus Escort social events.
Office Management
  • Opening the Office
    Office Managers are responsible for opening the Campus Escort office in the Commuter House. Upon opening the office, the manager may also take the escort phone and dispatch log to the common area of the Commuter house
    Managers must stay in the Commuter house until at least one staff member has arrived to work Escort. Preferably, the manager should stay until at least three staff members (1 dispatch, 2 walkers) have arrived before leaving the Commuter House.
  • Contacts in the Absence of Escort Workers
    If, after 15 minutes, no one has arrived to work escort for the night, the escort manager should attempt to contact the brothers in charge of the shift and/or replace them.
  • Escort should be closed only as a last resort if no staff is available for the night
  • Any problems should be reported to the Campus Escort Project head
    In the absence or inability to contact an escort manager for an assigned shift, escort staff should attempt to contact another Campus Escort manager to open the office. Staff may also contact the Campus Escort project Head (see above), the APO Service Vice-President, Justine Davis jmdav2@wm.edu, the APO Executive Vice-President, Meredith Sclater sclater@cox.net and as a last resort, the APO Chapter President, Matt Wester mrwest@wm.edu
  • Reporting Emergencies
    In the case of minor emergencies, such as those mentioned above, either the Campus Escort Project Head or Service-Vice President may be contacted.
    In the case of major emergencies, escort staff is advised to call campus police at x14596. Client phone calls should not be forwarded to campus police.
Dispatch of Client Calls
  • Escort House Set-up
    Phones, escort dispatch logs, pens, and radios should be accessible to staff at all times throughout the shift.
  • Answering a phone call: When answering a phone call, staff should follow this general outline:

“Hello, Campus Escort, this is ________. How may I help you?”

Before leaving the Commuter House, the staff must then record:

Client’s Name

Description of the client

Phone number of location in case a check-up call is necessary

The pick-up and drop-off points of the walk

The name of the walker(s)

The use of the golf cart

The date of the walk

  • During the walk, the dispatch must record the Pick-up and drop-off times of the walkers
  • Campus Escort Radios
    Radios are found inside the Campus Escort office on a charger. Staff should make sure that radios are charged before taking them on a walk and remember to recharge them upon their return.
  • General Rules for Campus Escort Radios
    Names and locations of walkers and or clients should never be transmitted over the radio. If it is necessary to contact walkers or clients waiting to be escorted, cell phones or other forms of communication should be used. Walkers should phone escort for secure information
    Radios should not be treated as toys. Campus Police monitor the Campus Escort radio channel and will chastise staff for excessive chatter.
Escort of Clients
  • Staff Walks
    Walks must be done in pairs; males are permitted to walk alone if low on staff. In addition to the two walkers, one staff member must always be present to act as a dispatch to record information and direct walks within the Commuter House.
    Walkers should take Radios and campus ID before they begin to walk
    Radio checks must be completed immediately after the staff leaves the Escort House.
    Walkers should relay pick-up and drop-offs to the dispatch
  • Radio check and other radio transmissions.
    Begin any transmission with the phrase “[Color] ROVER TO ESCORT”
    “RADIO CHECK” to make sure the dispatcher is listening.
    MADE THE PICK-UP” when you make the pick-up.
    “MADE THE DROP-OFF” when you make the drop-off.
Escort Cart Use
  • Location of Golf Cart
    The golf cart is locked in a small white garage behind the Commuter House on the corner of the block. Both the back door and the front sliding door are locked by a deadbolt. The keys for the locks and the golf cart are held in the Campus Escort Office.
    Open the padlock on the small door leading into Corner House Garage.
    Unhook battery charger and leave the cord it in the garage.
    Open the large garage door by taking opened padlock off of door latch. Make sure to lock this padlock after the golf cart is removed. Also lock the smaller door on the backside of the garage.
    Only remove the car once a call has been placed to the Campus Escort service.
  • Operation of Golf Cart
    Upon return from a call, drive the Golf Cart to the front of the Commuter House. Turn the ignition to the off position and take the key back to the Campus Escort office. (Keys should never be left in the Golf Cart without an attendant)
    The reverse lever is to the right of the driver’s side seat. A constant tone will take place when in reverse. Switching the lever forward will stop this tone.
    When parking, the break must be thoroughly pressed down. Upon a full extension of the break, a small click will signal that the parking break has been locked. To remove the parking break, lightly tap on the gas pedal to the left of the break.
    When finished for the shift, the Golf Cart should be driven back to the garage, the ignition should be turned to the off position, the battery should be reconnected to the cart, and both doors of the garage should be locked.
  • Golf Cart Regulations
    Only 5 people may ride on the Golf Cart at any one time.
    Drivers should stay on campus sidewalks and paths at all times. Exceptions will be at crosswalks, interior campus streets when absolutely necessary, and in extreme cases where common sense dictates.
    Lights should be on at all times after dark. (Lights may be toggled by pulling a small lever on the Golf Cart dashboard.
    The Golf Cart will be used for main campus and Ludwell only. No pick-ups will be allowed at the Gradplex. If a client is in desperate need of the Escort Service, they may be asked to walk as close to campus as physically possible to allow for Escort pickup.
    The Golf Cart should be driven at a prudent speed. When wet conditions are present, braking will certainly be affected. Drivers should go slower during such conditions.
    THE GOLF CART MAY NOT BE USED IF SNOW OR ICE IS PRESENT ON THE ROAD, SIDEWALKS, OR CAMPUS PATHS.

    Please contact the Assistant Vice-President for Client Affairs, Mark Constantine, if the Golf cart is not working properly. He can be reached at 1-3300 or mxcons@wm.edu. Any accidents or incidents should be logged at the Campus Escort office, and reported to Mark Constantine the next day. Campus Police should be notified if the accident or incident is of a serious nature.
